What information we collect

• Learner details: name, date of birth, ID or birth certificate number, gender, home language and previous school.
• Parent or guardian details: name, ID number, contact numbers, email address, home address and occupation.
• Health and medical information needed for learner safety and care, such as allergies, medication restrictions or information, the emergency hospital or clinic, and medical aid information where applicable.
• Supporting documents you upload, such as a birth certificate, ID copy, proof of address and school reports.
• Enquiries you send us through the website.

Why we collect it

We use this information to consider applications for admission, to contact you about your child, to meet our legal and regulatory obligations as a registered school, and to keep your child safe while in our care. Health and medical information is used for learner safety, emergency needs and appropriate school administration.

Who can see it

Only authorised school staff can view applications and documents. Documents are stored in private storage and are not publicly accessible. We do not sell your information or share it for marketing.

How long we keep it

We keep application information for as long as we are required to by law and for as long as it is needed for the purpose it was collected. Unsuccessful applications are kept for a limited period and then deleted.

Information Officer

She is responsible for how the school handles personal information under POPIA and for requests for access to information under PAIA.

Your rights

You may ask to see the information we hold about you or your child, ask us to correct it, or object to how we use it. Please contact the school on 083 357 2513 or at admin@jensprimaryschool.com.

How to contact us about your information

• Access: write to the Information Officer at admin@jensprimaryschool.com and tell us whose information you are asking about and what you need.
• Correction: let us know what is wrong or out of date and we will update our records.
• Objection: you may object to a particular use of your information, and we will explain what that means for your child’s place at the school.
• Complaint: please speak to the Information Officer first. If you are not satisfied, you may complain to the Information Regulator (South Africa).

Children’s information

Information about a child is provided by a parent or guardian, who gives consent for us to process it for admission and school purposes.
